I’ve always believed that change begins with curiosity, the kind that drives you to understand not only the world around you, but also the people who make it worth changing. It’s about connection and shared growth.

Create and update HMSA’s Mastersheet.
Archive All HMSA’s official documents (IOGs, SOPs, Reports, Manuals, Toolkits,...etc)
Update HMSA Profile and Annual Guide.
Develop the Term Timeline.
Develop and update HMSA’s monthly activities calendar for members
Develop a solid and user-friendly reporting system.
Work on HMSA’s Half-Term and End-Term Reports.
Draft Permissions and Accreditation.
Translate all needed documents between Arabic and English.
Participate in capacity-building efforts focused on secretarial work and competencies.
Requirements:
Attended at least 1 NGA and/or 1 LGA.
Being adequately oriented of HMSA bylaws and working structure.
Good documentation and archiving skills.

Maintain the HMSA Membership Database and update it regularly, including but not limited to:
Updating HMSA members' personal data.
Updating HMSA’s Workforce Personal Data.
Tracking HMSA TO Alumni and updating their data.
Tracking and documenting certificates issued to members on a monthly basis.
Tracking HMSA Representatives in National and International Teams and updating their data.
Tracking local and national GAs attendance.
Tracking Standing Committee meetings attendance.
Tracking Annual Financial Contributions Payment.

Task Description:
Assist the VP in:
General Tasks:
Developing members’ engagement strategies for HMSA members
Follow-up with with Standing Committee Officers’ and Support Division Directors’ Development Assistants on implementing members engagement strategies
Responsible for coordinating HMSA OSDs
In collaboration with DAs, ensure developing follow-up opportunities after HMSA workshops and events.
Scoring and Tracking:
Tracking applicants to all opportunities on the local, national, and international levels (In coordination with relevant TO members)
Develop a unified scoring system for members.
Regularly report on the performance of the top-performing members.
Coordinate with HMSA TO and their Development Assistants to consistently update the Members’ Activity Tracking Sheet.
Create a rewarding and acknowledgment system for HMSA members, including but not limited to certification.
Develop a flagging system with specific criteria
HMSA Work Environment
Prepare and send HMSA Satisfactory Evaluation Form biannually
Prepare and send short Mental health surveys bi-monthly to the Local Teams
Bonding Activities
Ensure the implementation of members engagement cycle in Mentorship Program

Work on mapping stakeholders for potential collaborations in our fields of work.
Develop an annual collaboration plan for each Standing Committee and Support Division.
Initiating communication with potential collaborators and maintaining communication with partners/collaborators as needed.
Following up and attending meetings with our partners and collaborators while updating the partners database.

Coordinate the Public Image SWG
Developing ideas to promote HMSA within our local community.
