Incoming Assistant (1)
Task Description:
General Tasks:
Assist the LEO and LORE with the planning, organization, and execution of all incoming SCOPE/SCORE activities
Provide logistical support for incoming students' activities, including UATs, EAs, and social programs
Update internal documents related to the incoming division, ensuring deadlines are met and communication flows smoothly
Hosting Preparations:
Assist in organization of all necessary documents from incoming students
Assist the LEO and LORE in preparing accommodation, airport pickups, and orientation plans, ensuring all logistical aspects are well-organized
Revise and update the incoming manual by adding any recent changes.
Collaborate with the LEO and LORE in scheduling pre-arrival sessions.
During Hosting:
Assist the LEO and LORE in organizing Upon-Arrival Trainings and ensure the finalization of all logistical requirements.
Coordinate with the LEO and LORE to organize and assign contact persons, ensuring they are scheduled for their days and specific roles throughout the month.
Serve as a continuous contact person for incomings, assisting them with any challenges
Constant monitoring and evaluation of the CPs participation in the hosting month
Consulting with the LEO and LORE constantly throughout the month through every detail while following the program that is agreed upon
Weekly check in with students to gather feedback on their experience.
Capacity Building:
Assist the LEO and LORE in organizing training sessions for the Contact Persons
Collect testimonials, photos, and reports from incoming students to use in promotional material
Assisting the LEO and LORE in half-term and end-term reports, locally and nationally.
Assist the LEO and LORE in any delegated task.
Requirements:
General:

Good knowledge of SCOPE/SCORE vision and mission.
Attended at least one Local or National General Assembly Meeting
Availability throughout hosting months is a MUST
Perfect English

Properly follow up on reporting of the activities.
Assisting activity coordinators with work related to activities.
Helping activity coordinators with evaluation and impact assessment.
Conducting sessions on the new reform to support and provide activity coordinators with the information needed to propose their activities.
Requirements:

Well-oriented with the vision and mission of HMSA and their relevant Standing Committee.
Motivated and passionate about the relevant Standing Committee
Experience in the relevant Standing Committee’s Work (Preferred, not a must).
